Job Description

General Summary of the Position

To oversee the general office and financial activities of the parish.

Essential Duties and Responsibilities of the Position
• Experience in QuickBooks and accounting procedures outlined for Diocesan entities
• Work closely with Pastoral Administrator on all operational aspects of the parish
• Provide supervision of office staff
• Provide administrative, purchasing and clerical support to ministry staff
• Collaborate with the Diocese for training and general support
• Manage maintenance of and training on church database software.
• Supervise payroll, banking, as well as the overall financial record keeping of the parish
• Facilitate the preparation of the parish budget with input from Pastor and Finance Council
• Prepare monthly financial statements and present to the Finance Council
• Provide financial updates to parishioners as required by annual AUP
• Schedule volunteers to count weekend/special collections.
• Oversee the management of both parish and Diocesan fund drives
• Balance all bank statements
• Collaborate with the Diocese as needed
• Prepare annual financial reports for the Diocese
• Manage the scheduling of all facility halls, classrooms, and meeting rooms
• Coordinate special needs of renters with parish maintenance staff
• Assist maintenance staff in administrative and financial matters
• Attend all Finance council and staff meetings
• Be responsive to the administrative and clerical needs of all committees
• Attend Diocesan Business Manager meetings
• Act as a “point person” for inquiries on parish business and administrative matters, making appropriate referrals as needed
• Be a catalyst for good cooperation and business relationships among all parish entities, staff, committees, and parishioners
• Maintain spiritual influence and presence in overall administrative activities of the parish
• Oversee and make sure payroll is entered and submitted in a timely manner to ExponentHR
• Process New Hire/Termination paperwork
• Prepare weekly parish bulletin
• Maintain weekly scheduling of thermostats in Church & Parish Center
• Managing other duties that may occur seasonally

Knowledge, Skills and Abilities:
• Knowledge and experience in Quickbooks is a must.
• Skills in basic office management
• Supervisory skills
• Skills in fiscal planning and management, general accounting and payroll
• Good written and oral communication and public relation skills
• Ability to oversee computer and software needs
• Ability to learn and train staff in various computer programs

Education and Experience:
• Experience in office management/administration
• Experience in Microsoft Office products
• Experience in general accounting processes

Special Requirements:
Active member of the Catholic Church
