Job Description

General Summary of the Position

The Office Manager plays a key role in the administration of the parish office and support of the ministries and parish community at St. Joseph Catholic Church. The Office Manager also serves as the Executive Assistant to the Pastor. By supporting the pastor and managing the operations of the office, the Office Manager is an essential member of the parish staff and plays a very important role in the life of the parish. The Office Manager reports to the Director of Business Operations.

Office Manager Responsibilities

· Supervise parish receptionist and administrative assistant to ensure smooth and efficient operation of the parish office
· Manage parish Safe Environment program, including managing applica-tion and interview processes, conducting background checks, etc.
· Oversee safety policies and protocols, including issuing ID badges
· Manage facility rentals
· Oversee purchase of office supplies
· Manage vendor relations and service contracts as assigned by the Direc-tor of Business Operations
· Maintain collection envelope list, adding new parishioners and removing those who no longer wish to receive envelopes
· Prepares bulk mailings
· Manage the parish list for “The Texas Catholic” by emailing additions, changes, and deletions
· Prepare reports as required for the Diocese of Dallas (the Diocesan Sta-tistical Reports and “The Official Catholic Directory”)
· Assist in collection of money each week from the shrines, Lighthouse Media kiosks, and the alms poor box
· Perform daily tally of money that comes into the office when necessary
· Proofread the bulletin
· Order church calendar annually
· Assist with preparing and mailing the year-end financial statements to pa-rishioners
· Assist Director of Business Operations with AP by preparing checks, ob-taining signatures, and mailing checks
· Serve as point of contact for new hire candidates, schedule interviews, and follow up with candidates
· Email lists of new parishioners weekly to Stewardship Committee, who then contacts them to see if they have any needs or questions with which we can help them
· Send out letters quarterly inviting new parishioners to a Welcome Lunch
· Work with parish ministries:
o Assist parish ministries in obtaining, training, and utilizing volun-teers
o Schedule events on PDS Scheduler for assigned ministries
o Notify the Brothers & Sisters in Christ group of any parishioners who are sick so they can send a card and follow up with a phone call
o Assist ministries with their requests
· Other duties as required

Executive Assistant to the Pastor Responsibilities

• Schedule appointments for the Pastor and maintain Pastor’s calendar
• Prepare correspondence for the Pastor
• Maintain Presider’s Calendar with priest/deacon assignments for Mass, Baptisms, etc.
• Assist the Pastor with projects or in any other way as required

Job Requirements

Knowledge, Skills and Abilities:

• Must be a practicing Catholic in good standing and in line with the Magisterial teachings of the Catholic Church
• Proficient in oral and written communications
• Must be highly motivated with strong organizational, record-keeping, and interpersonal skills
• Strong computer skills, particularly Microsoft Word, Excel, and Outlook
• Microsoft Publisher proficiency desired, but not required
• Experience with parish management software, particularly PDS, highly desirable
• Ability to maintain confidentiality
• Strong preference for a bilingual English-Spanish speaker

Education and Experience:

• Bachelor’s degree required
• 3+ years of office management experience, preferably in a parish or non-profit environment
• 2+ years of supervisory experience
